A youth minister from a Nampa church called us in early May last year — retreat in July, 60 kids, needed shirts, had no idea what to budget. That call is pretty common around here from April through June. The answer depends on your group size, your decoration method, and how much runway you've got before the event, but the pricing ranges are consistent enough that I can give you real numbers right now.

Small Group Monthly Shirts (8–24 Pieces)

Small weekly or monthly identity tees in the 8–24 piece range run $14–$22 per shirt with DTF printing. No setup fee per design, which matters when you're changing the graphic every semester or rotating a new verse each quarter.

Example cost for 12 small group tees: $168–$264. Most youth ministers I talk to budget around $200 for quarterly small-group apparel and order in one shot to keep the per-shirt price down.

DTF is the right call at this volume. You get full-color art without the screen-print setup cost eating your budget on a short run. (I tell people: if your group is smaller than a school classroom, DTF is almost always the move.)

Retreat Shirts (40–80 Pieces)

Annual youth retreat orders in the 40–80 piece range run $11–$16 per shirt with screen print or DTF. Screen print starts pulling ahead on per-piece cost around 50 pieces — the setup cost spreads across more shirts and the math shifts.

Example cost for 60 retreat tees: $660–$960. Most churches I work with build the shirt into the retreat registration fee. Five to eight dollars per attendee covers it, and kids get something they'll actually wear home.

One size note: retreat groups almost always span a wide age range. We do toddler 2T through adult 3XL on the same order, no extra charge for the size mix.

Camp Shirts (150–400 Pieces)

Summer camp orders hit the bulk-pricing sweet spot. In the 150–400 piece range, expect $8–$14 per shirt. Push past 300 pieces and you're looking at $7–$12. Camp shirts are honestly one of the most cost-effective orders we run.

Example cost for 250 camp tees: $2,000–$3,000. Add $10 per camper to the registration fee and the shirts pay for themselves with a little margin left over for the counselor extras.

Screen print is the clear choice at 200-plus pieces. Per-piece cost drops aggressively and setup absorbs cleanly into the run.

Mission Trip Shirts (8–24 Pieces)

Mission trip teams are usually small, 8–24 people, and they tend to want more elaborate art: trip location, year, team motto, maybe a full-color graphic. DTF handles all of that cleanly. Expect $11–$18 per piece at this size.

Example cost for 14 mission trip tees: $154–$252. Most teams I've talked with roll this into pre-trip fundraising. It's a small line item relative to travel costs, and the shirts do double duty as team identification on the ground.

Decoration Method by Volume

The short version: DTF wins under 25 pieces, screen print takes over at 50 and up. Here's how the middle shakes out.

Mixed Sizes Are the Norm, Not the Exception

Church groups run the full size spectrum, sixth-graders and twelfth-graders, VBS volunteers and their toddlers, summer camp staff and middle schoolers. We handle 2T through adult 3XL on the same order with no setup charges for the size spread. It's just a standard part of how we process church orders.

Plan for staff shirts too. Camp directors, counselors, and volunteers always need a separate color or style so kids can spot them, and those usually run as a small add-on to the main order.

Order Timing for Summer Events

Summer is the church apparel peak in the Treasure Valley. VBS in June, camps in July, retreats in August. Six weeks of lead time is the safe number.

Churches that come to us in late April or early May for VBS and camp orders get production wrapped up with time to spare. The ones who show up ten days out are paying rush fees and texting me at 7 a.m. We do offer 24-hour rush when production slots are open, but it costs more and I'd rather you not need it.
