Quick answerA volleyball tournament apparel checklist for club coaches should cover game uniforms, warm-ups, travel gear, coach staff pieces, and parent apparel — and every item needs to be ordered at least 6 weeks before your first tournament weekend to leave room for roster confirmations and production time. Eagle Ridge, based in Meridian, ID, has outfitted club volleyball teams across the Treasure Valley for 7 years with no minimums and free digitizing on first runs. Miss that 6-week window and you're making phone calls you don't want to make the week before your opener.
A 16U coach from Nampa came in last February, about three weeks before her club's first tournament weekend, and she had a handwritten list on a folded piece of paper. She'd thought of jerseys, spandex, and warm-up tees. She hadn't thought of coach polos, parent shirts, backpack embroidery, or what happens when a player joins the roster after everything's already been ordered. That list turned into a two-hour conversation. I figured I'd write it down so the next coach doesn't have to start from scratch.
Game Uniforms — Order 6+ Weeks Before the Season Starts
- Sublimated jerseys in two colors (home and away). Most 14U and 16U teams only need one color, at least in year one.
- Matching spandex in team colors, sublimated to match the jersey. Don't order these separately and hope they match — they won't.
- Knee pads — we don't make these, but we can source and deliver them alongside your order so everything arrives together.
- Player names and numbers printed into the jersey via sublimation. Confirm the roster before you submit to production. Mid-run roster changes cost time and money.
Six weeks sounds like a lot of runway. It disappears fast once you factor in roster confirmations, size approvals, and production time. Start early.

Pre-Game Warm-Ups — Order These With the Uniforms
- Warm-up tees in team colors, screen-printed or DTG, cotton or moisture-wicking poly depending on your preference.
- Warm-up shorts — most teams skip these because players wear their game spandex underneath.
- Team hoodies for cold gyms and long travel days. Embroidered or printed, both hold up well through a full season of washing.
Honestly, hoodies are the item coaches forget until they're sitting in a 58-degree gymnasium in January wishing they hadn't.
Tournament Travel Gear
- Team backpacks embroidered with each player's name and number. Saves a lot of confusion in a gym with six teams and identical bags.
- Coach polos embroidered with the club logo and your staff role. Simple, professional, and parents will actually be able to find you on the sideline.
- Parent and supporter shirts — these are big sellers at tournaments. Run them through a team store so parents order their own sizes and you're not stuck guessing.
Supporter Merch — Don't Leave That Money on the Table
Tournament weekends are the best chance to capture supporter merch revenue. Parents, grandparents, and siblings all want team-color gear, and they'll buy it if you make it easy. A team store window starting 4 weeks before the first tournament works well. Typical items and price ranges:
- Mom and dad team-color tees ($16–$22 each)
- Grandma hoodie in team colors ($28–$38)
- Sibling youth tees ($10–$15)
- Team bumper stickers and magnets ($3–$5)
Most clubs net $200–$600 in supporter sales per tournament weekend with essentially zero effort from the coaching staff. The team store handles the orders, payments, and size selection. We've got 136+ team stores live through Eagle Ridge right now — setup takes about 48 hours and there's no monthly fee.
Mid-Season Add-Ons and Replacement Orders
Players join mid-season. Jerseys get lost. It happens every year. If you need a single replacement jersey for a tournament next weekend, call us as soon as you know —. We can rush a replacement in 5 business days with no setup fee on the reorder. Tell us the tournament date when you call and we'll work backwards from there.
The Pre-Tournament Packing Checklist
Send this to parents 3 days before each tournament. It cuts way down on the 6 AM Saturday panic texts.
Every player needs to pack:
- Game jersey and a backup if you have one
- Matching spandex and a backup pair
- Knee pads
- Warm-up tee and team hoodie
- Team backpack
- Water bottle
- Hair ties and bobby pins (not our department, but they matter)

Frequently asked
How far in advance should I order club volleyball uniforms?
Order game uniforms at least 6 weeks before your first tournament weekend — that window accounts for roster confirmations, size approvals, and sublimation production time. Cutting it closer than 4 weeks puts the whole order at risk.
What volleyball apparel items do club coaches usually forget?
Coach polos, parent fan shirts, and embroidered player backpacks are the three items coaches most often leave off the first draft of their order. A mid-season roster add after production is closed is the other common problem, so confirm your full roster before you submit.
Can Eagle Ridge handle small club teams with no minimum order?
Eagle Ridge in Meridian, ID prints and embroiders with no minimums on most orders, so a 10-player 14U club team gets the same service as a 30-player 18U program. Reach out to talk through your roster size and timeline before you start.
How We Make This Stuff
Everything covered in this post is produced in our Meridian, Idaho shop at 2700 E Lanark St. Eagle Ridge Apparel is a family-run print shop serving the Treasure Valley since 2019 — we embroider, screen print, DTF, sublimate, laser-cut leather patches, laser-engrave drinkware, and UV-print promotional goods on equipment we operate ourselves. No outsourced decoration, no overseas fulfillment, no third-party middlemen.
Most custom apparel orders ship in 7–10 business days from approved mockup. Rush production in 3–5 business days is available on most decoration methods; embroidered hats are the tightest constraint. We hold no minimums on any decoration type — order one piece or one thousand — though pricing scales aggressively over 50, 100, and 250-piece tiers. Free digital mockups before production starts. We don't begin a run until you sign off on what it'll look like.
Two ways to order: design it yourself online in our designer tool (any quantity, any decoration method), or request a custom quote and we'll send back pricing within one business day. Talk to a real person — email info@eagleridgeapparel.com or send us a message, and most inquiries get a response within two hours during the business day.
